Volunteer & Student Placement applications just got simpler

We’ve streamlined how you apply to volunteer or complete a Student Placement with APES — and made onboarding faster, too.

Volunteer & Student Placement applications just got simpler

Key points

  • New application form now connects directly to our internal database (clients, animals, staffing).
  • Your profile is created automatically when you apply — around 75% of interview info is pre-filled.
  • Faster inductions and fewer forms for you to complete.
  • We use Animal Shelter Manager (ASM), with your data stored securely in UK data centres.
  • Students: hours still count towards your placement requirements.

What’s new — and why it matters

We’ve rebuilt our Volunteer & Student Placement application so it talks directly to the same system we use every day for animal care and client support. As soon as you submit your form, a profile is created automatically in our system. That means when you come for interview, about three‑quarters of your details are already in place, saving everyone time and helping us focus on you — not paperwork.

This change also speeds up induction. With your core information already on file, we can complete the final checks more quickly and get you started sooner.

One system for people, animals and shifts

APES runs on a single platform, so your application sits alongside the information our teams use for animal welfare, shift planning and supporter services. It’s cleaner, more accurate and more secure, and it helps us coordinate your role from day one.

Your data, protected in the UK

We use Animal Shelter Manager (ASM) — specialist software for animal charities. Your personal information is kept securely in UK data centres and handled in line with GDPR. In plain English: we collect only what we need, keep it safe, and don’t share it without a lawful reason. You can ask for a copy of your information, update it, or request changes to how we contact you at any time.

Want to know more? You can read ASM’s data and privacy information from their official resources at any time.

Students: placement hours still count

If you’re joining us on a Student Placement, your logged hours count towards your course requirements as usual. The new application simply reduces admin so you can spend more time gaining real‑world experience.
